The information you will need to set up your phone to access
your university email and calendar is:

Warning! If you plan to synchronise your contacts, first backup
the contacts on your phone as the synchronisation process may
overwrite your phone contacts with the contacts in your
mailbox.
Setting up email on your mobile device will vary on different
models. Instructions for some devices can be found
below. If your device is not covered by our guidance, consult
the user guide for your model of device for instructions.
Mobile device user guides can be found on-line usually on the
device manufacturer and mobile provider websites.
Please note ICT services do not offer support on non-university
mobile devices beyond the information provided here.
Configuring York St John University email on HTC Desire
(Android operating system)
- Press the Menu button under the screen. Select
Settings.
- Choose Accounts & Sync.
- Select Add account and then Exchange
ActiveSync.
- Enter your email address and password.
- Press the icon on the bottom left hand of your screen with a
picture of a keyboard to hide your keyboard to allow you to
see all the fields that need to be completed.
- Enter Server Address: email.yorksj.ac.uk.
- Ensure This server requires an encrypted SSL
connection is ticked
- Press Save to complete your setup.
Configuring York St John
University email on Windows Mobile
- Go to Start, Programs and
click ActiveSync.
- Click on the hyperlink set up your device to sync
with (Exchange Server) or click on Menu
and then Add Server source.
- In the Email address box enter your York St
John University email address. Ensure there is a tick in the box
Attempt to detect Exchange Server settings
automatically.
- Click Next.
- In the appropriate boxes enter your ICT username and
password.
- In the Domain box enter
yorksj.ac.uk.
- Click Next.
- In the Server address box enter
email.yorksj.ac.uk. Ensure there is a tick
in the box labelled This server requires an encrypted (SSL)
connection.
- Select which options you wish to synchronise.
- Click Finish.
Configuring York St John University email on an iPhone
- Go to Settings
- Choose Mail
- Choose Add Account and choose
Microsoft Exchange.
- In the appropriate boxes, fill in, your email address, username
and password. The domain is yorksj and optionally
fill in a description so you can identify the account.
- On the next screen, the Server should be set to
email.yorksj.ac.uk
- Now choose which components you would like to sync and you're
done.

Blackberry devices and York St John university email
Please note the following limitation if you have or plan to
purchase a Blackberry mobile device.
The majority of mobile devices use Exchange ActiveSync to connect
to the university email servers. Blackberry devices do not
use Exchange ActiveSync to connect to Exchange email.
They access email via Blackberry Enterprise Service (BES) or the
mobile provider’s Blackberry Internet Service (BIS). Only BIS
is compatible with the university servers. A limitation of
BIS access is that you may not get “over the air” access to your
calendar. For these reasons we cannot guarantee that your
Blackberry device will be able to connect to your YSJ mailbox.
Securing your mobile device
To prevent unauthorised access to your email in the event of
loss or theft, it is recommended you use your device security
options. As a minimum, use a pin number or a swipe pattern which
can be found on most devices. If you use a swipe pattern be
wary of the swipe pattern being viewable from finger prints on the
screen. Refer to the user guide for your device for instructions on
how to secure your device. Users of university owned devices
may contact ICT Services for additional guidance.
What to do if a mobile
device configured for university email is lost or stolen
Ideally the phone will have been secured (see above section)
which minimises the risk of unauthorised access to data however we
strongly recommend that you remotely wipe your device. You
can either remotely wipe the device or block it from synchronising
with your University mailbox. You can do this by logging into
here, selecting 'Phone' from
the list on the left, highlighting your device and clicking 'Block
Phone' or 'Wipe Device' from the toolbar. If you select
'Block Phone' all future attempts by your lost handset to
synchronise with your YSJ mailbox will be unsuccessful. If
you select 'Wipe Device' the next time your lost handset
synchronises with your YSJ mailbox, a command will be sent to the
lost handset initiating a full factory reset of the handset
including the formatting of any associated storage media.
Users of university owned devices should contact the Messaging
Team in ICT Services on 01904 87(6696) who will contact T-Mobile to
block the device and sim card. If the loss is out of
university hours you can call T-Mobile direct on 0845 412 5000
quoting your mobile number and name. As soon as possible also
inform the Messaging Team who can organise a replacement sim card
if appropriate.
Limit the impact of push email on battery
life
After configuring synchronisation with email, by default most
mobile devices will synchronise every few minutes with the email
servers. The more often your device contacts the email server the
greater the impact on your battery.
You can limit how often your device synchronises with the email
server to preserve battery life. Refer to your device user
guide for instructions on how to do this.
