Attachments

Adding an attachment

When sending an email you may sometimes wish to send a file as well. Sending files by email can be achieved by adding an attachment.
To add an attachment:
1. Click the ‘Paperclip' icon to start adding an attachment.

2. After clicking the 'Paperclip' icon browse to your file and click the ‘Open’ button.

3. You will see your attachments listed to the right of the ‘Attachments:’ button.

Continue to write your email as normal, then click 'Send'.

 

Opening an Attachment

You may be sent a file as an attachment to an email. The paperclip icon will appear underneath the sender’s name if the email has an attachment.

To view the attachment simply click on it.  You will then be presented with a dialogue box asking you to either Open, Save or Cancel.  Please note: If the attachment is a Microsoft Office document you will be notified that you must save the file before you can view or edit it.  Beneath the Attachments: heading you will see a link with the name and size of the file that has been sent to you.

If you select to open the file, then it will open in a separate window. Once you have read it you can save it to another destination, e.g. My Documents, by clicking on File and then Save As. Alternatively, if you do not wish to save the file, close it by clicking on the in the top right hand corner of the attachment window. The attachment will remain with its associated email for you to access again if required, unless you delete it.


TIP Be aware that some attachments such as pictures, photos and databases can use up a lot of disk space allocated to you for email. If you wish to keep large attachments, it may be preferable to save them to a memory stick or you’re ‘My Documents’ and then delete them from your inbox.


WARNING ! Please note that you may see a warning that attachments may contain viruses. If you are suspicious about the sender or the subject of an attachment, then you should delete it and NOT OPEN IT. Contact ICT Services if you require any guidance on any suspicious email or viruses.
