This guide was produced for the November 2019 ceremonies, and will be updated for 2021. It provides useful background information, but please be advised that dates, prices, regulations and any other information contained within are subject to change.
Receiving your invitation
An invitation to your graduation ceremony will be sent to your personal email address from late July to early August. To ensure that you receive your invitation and tickets please check that your details are correct in e:Vision.
It is important that you email firstname.lastname@example.org as well as updating your e:Vision records if any details are incorrect, as we will need to edit your ceremony record.
Booking your tickets
Your email will direct you to the Ede and Ravenscroft online booking service E-net. You will be able to confirm your attendance and book your tickets. Please respond to the invitation promptly to reserve your place at your ceremony.
The deadline for confirming your attendance will be the first Monday in September.
Initially, each graduand will be able to book two guest tickets only; this is due to a limited capacity in York Minster. If more tickets become available all attending graduands will be notified, and the tickets will be made available on a first come, first served basis. Guest tickets must be paid for before your ceremony and will cost £15 each (your own ticket is free).
Your e-tickets (for you and your guests) will be emailed to you directly by Ede and Ravenscroft, to the email address you made your E&R account with. We recommend printing these tickets to bring on the day, as they will be checked by door staff on entry, and guests and graduands enter via different doors. However, if this will not be possible, the tickets can also be shown on a mobile device. Your student seat number will be shown on your e-ticket. Please ensure that you make a note of this so that we can quickly get you to your seat before the ceremony.

Gowns and photography
Graduation is a formal occasion and academic gowns are required for all participating staff and students. When booking your tickets you will also be able to hire your gown through the Ede & Ravenscroft online booking website.
Ede & Ravenscroft are providing the photography for the ceremonies and you can pre-book your photography package at the same time as you confirm your attendance and hire your gown. The photographic service will be available on campus before and after each ceremony until 5:30pm. Photographers will also be present at the ceremony to photograph every graduand receiving their award on the stage.
Personal photography is also permitted within York Minster, however, we do ask that all guests remain mindful of others when taking pictures.
Livestreaming on the day
If you have friends and family who are unable to attend the ceremonies, they will be able to watch a live stream.
Each ceremony will be streamed live from York Minster and will be available to view for a limited period following graduation week. The weblink will be released on the day of the ceremonies.
The ceremony will also be available to view on campus in the Holgate dining room and in several reception foyers across campus.
Further details will be emailed to graduands nearer the time.
After the ceremony
Shortly after the ceremonies, you will be emailed by Ede and Ravenscroft with a link to their photography portal where you can view the professional photographs from the day. If you have any queries regarding this, please contact E&R at firstname.lastname@example.org.
You will also receive an email from our Graduate Outcomes team with a link to view your StageClip; a free, personalised clip of your special moment on stage. Please ensure you keep your email address up to date on eVision so this is sent out correctly.
If you did not attend your ceremony, you will receive an email shortly after the ceremonies to let you know we are preparing to post out your certificate. We will let you know the address we currently hold on record, and if this needs to be updated, please let us know urgently. If we don't hear back from you within two weeks, we will assume the address is correct and post out your Certificate and Transcript.
