Information for students on AMS - Attendance Monitoring System
The University now uses an electronic Attendance Monitoring System (AMS) that is linked to your student card. All you have to do is tap your student card on the card reader at the start of a class and then you are registered as attending that class. The new system is quicker and easier than filling in paper attendance forms and will help us to understand when best to help you engage in your studies and hopefully improve your grades.
If you are experiencing any difficulties with using your card, for example, it may show as ‘unregistered’, please notify the School Admin Unit (SAU).
The School Admin Unit offices are located in De Grey and the Quad.
Please ensure you have your student card with you at all times. Information on how to replace a lost or stolen student card can be found on the Registry and Student Systems and Records webpages.
University Regulations on Attendance Monitoring
The University has a responsibility to those public authorities which finance programmes of study to ensure that students attend the courses for which they are registered and to encourage effective learning, leading to the successful outcomes in assessments. The University also has specific responsibilities to the Home Office to monitor the attendance of international students whose presence in the UK depends on a visa for the purposes of higher education. To report an absence, please fill in the form below. Please note that your form is visible to the School Admin Unit and academic staff, bear this in mind and try to avoid generic reasons for absence - there is no need to disclose sensitive details. Also, note that this form is for notification purposes only and does not constitute any form of approval.
York St John University is committed to ensuring your privacy is protected and all personal information gathered and held by York St John University relating to its students is treated with the care and confidentiality required by the General Data Protection Regulation and associated UK Data Protection legislation. The absence reporting form is used solely for the purpose of monitoring attendance in line with the university’s attendance monitoring policy and by extension, programme attendance regulations. For these purposes, York St John University is a data controller and in reporting your absence, you understand the following:
- Information will be shared with relevant administrative and academic staff in order to support students with issues affecting engagement or attendance.
- Information such as student numbers and reasons for absence will be shared with relevant administrative and academic staff in order to support students with their studies and future engagement with their studies. Additionally, in reporting an absence, a student can be signposted to support and guidance from student services should the student require this.
- Information is stored on a York St John internal system and deleted at the end of the current academic year in line with the University’s retention policy.
