Monitoring collaborative provision

An overview of how we maintain oversight and monitor collaborative provision partnerships at York St John.

External examiners

Like all York St John University awards, partnership awards need to have an external examiner appointed.

Partners should follow the standard York St John University procedure for appointment, working with and responding to their external examiner. You can find all the information you'll need on our External examiners pages.

Collaborative partner representatives

When entering into any partnership an academic lead, referred to as the Collaborative Partner Representative (CPR), should be appointed to work with the partner. This appointment is discussed in the academic school and confirmed with the Academic Quality Support team.

The CPR's role is to act as the main link between the partner and York St John University and to work with the partner to ensure communication is open and that regulation, policy and process are clear. This role is explained further in the role document:

An operations manual is produced when the programmes are approved for delivery under a partnership agreement. CPRs should be familiar with this document, which lays out which institution is responsible for which elements of the provision. The operations manual will also specify particular responsibilities for the CPR, University and the partner organisation.

The main tasks for a CPR are to attend the partners' subject panels where appropriate, keep communication open throughout the year, and support the annual monitoring process.

Annual monitoring

Every year York St John University carries out an annual monitoring process, which allows it to determine the academic health of programmes and take action in response to any concerns.

An Annual Monitoring Report (AMR) is written by the partner supported by the Collaborative Partner Representative. The AMR is considered by the School Quality Panel before being presented to the Collaborative Partnerships Sub-Committee.

In the majority of cases the processes for collaborative partners mirror our internal processes. The aim of this is to keep operations as streamlined and simple as possible.
