Applying for accommodation at York St John University
Application deadlines, how to apply for your accommodation and what happens after you have applied.
We guarantee accommodation for all undergraduate students applying to join us in 2021, as long as our accommodation deadlines are met.
- Thursday 4 February 2021: applications open.
- Sunday 11 July 2021: deadline for accommodation applications. If you apply after this date we can no longer guarantee you accommodation.
- Monday 12 July 2021: application offers go out. We send these in batches so do not worry if you do not hear from us straight away.
- Sunday 25 July 2021: Advance rental payments due. This is deducted from your first full rent instalment.
When to apply
You can apply for accommodation for the 2021/22 academic year from Thursday 4 February 2021.
If you have an offer in place, you can make an application. You do not need to have accepted your offer to submit your accommodation application.
We recommend applying as soon as possible, even if you are unsure where you will be studying or if you have chosen York St John University as your insurance offer. This gives you 1 less thing to think about if anything should change later on.
How to apply
Completing your application
You can apply for accommodation using our Accommodation Hub.
Before completing your application, you will need to register for an account. You can register your new account from the Accommodation Hub homepage. You will need to provide:
- Your forename
- Your surname
- Your date of birth
- Your York St John University ID number.
You will then be asked to create a password.
When you have set up your account, you can fill in our simple online application form.
You must apply for accommodation by Sunday 11 July to be guaranteed accommodation. If you apply after this deadline, your application will not be processed until after Results Day and we cannot guarantee that a room will be provided.
If you join us through Clearing, you can apply for accommodation after you have received your offer. Different deadlines will apply and we will tell you these at the time.
Choosing your room preferences
We help students with a wide range of needs to find the right accommodation. This could be a disability, health concerns, or religious or wellbeing need. When you apply, there is a link to another form where you can tell us about any additional requirements. We recommend completing this form even if you think the type of room you have applied for will meet your needs. This will allow us to make sure everything is in place for you. On your application you can choose 3 accommodation preferences, in order of preference. We suggest you take time to consider all our accommodation options and choose your preferences wisely.
Unfortunately, we are unable to guarantee en suite accommodation for everyone. At least 1 of your preferences must be accommodation with shared bathroom facilities.

What happens next
Once you've submitted your application, we'll begin the process of allocating your room. For most accommodation applicants, there's nothing else that needs to be done after this point until we send your accommodation offer in July. If you have specified additional requirements in your application, we'll be back in touch with you for more information.
How we allocate rooms
We try our best to meet your preferences. Due to the number of applications and availability at each site this is not always possible.
When allocating accommodation, we work down your list of preferences. We prioritise site over room type. For example, if you ask for a large room at Limes Court as your preference and we cannot meet this, we will try to allocate you a standard room before moving onto your second preference. Depending on the number of applications, we may not be able to meet any of your preferences. In these cases, we will do our best to allocate you to similar accommodation.
As part of the allocation process we do prioritise some students. For example, if you have a specific disability or are joining us on a course that needs specific accommodation, such as a study abroad course. As such, our allocation process is not strictly first come first served.
We take the date we receive your application into account so we recommend submitting your application early. Your preferences are not guaranteed, but the earlier you apply the more likely you are to receive 1 of them.
If you change your mind, it may be possible to alter your preferences. However this can impact your application if done too late in the process. If you would like to alter your preferences please email email@example.com.
We send accommodation offers to all students with York St John University as their firm offer after Sunday 11 July. We send offers out in batches, so do not worry if you do not get your offer straight away.
If you apply for accommodation with York St John as your insurance offer, you will receive an accommodation offer after Results Day if we become your firm offer.
You will need to pay a £200 advance rent payment when you accept your accommodation to secure the offer; the advance rent payment will later be deducted from your first rent instalment. Once you have received your accommodation offer, you will be able to log into the Accommodation Hub to make this payment. You will need to accept your offer and pay the advance rent payment by Sunday 25 July* to guarantee your room. If this deadline is missed, your application will be reprocessed after Results Day but we won't be able to guarantee accommodation will be provided.
*If you receive your offer after the core allocation period, such as after Results Day, your deadline will be adjusted. We will tell you the date at the time.
Withdrawing your application
Before you accept your accommodation offer, you can cancel your accommodation application at any time. You can withdraw your application through the Accommodation Hub or by emailing firstname.lastname@example.org.
If you have accepted your accommodation and paid advance rent payment, but have not moved in yet, you can still cancel your accommodation. The advance rent payment will be refunded to you. In this instance please email email@example.com as soon as possible so the refund can be arranged.
When you have moved into your accommodation, you will be subject to the terms and conditions of your accommodation agreement which will impact your right to terminate. The 2021/22 accommodation agreement is currently under review. It will be published on our Document and Policies page and will be available in advance of you accepting the agreement.
