Documents you will need during your time living in student accommodation with us.
All personal information gathered and held by York St John University is treated with the care and confidentiality required by the General Data Protection Regulation (Regulation (EU) 2016/679) (GDPR); UK Data Protection Bill (when enforced).

Accommodation policies

The under 18’s policy will apply to students housed in University owned or managed accommodation, whose 18th birthday falls after the first day of the Residence Agreement of their year of entry to the University.
We have arranged free contents insurance for all students staying in our accommodation. This is through our partner, Howden for Students.
You will need to confirm your cover to:
- Check what is covered
- Check key exclusions and limitations
- Check your policy excess and how to make a claim
- Extend and personalise your cover.

Important documents
It is essential that you have read through and understood your Accommodation Agreement as it is an important, legally binding document.
By accepting this agreement, you are accepting the full terms and conditions included in it. You are also committing to the whole period of residence, so you may face charges or be liable for the full years accommodation fees if you terminate your agreement early.
We recommend that you download your contract and keep it safe in case you need to refer to it in the future.

Students currently living in University Managed Accommodation and who are continuing their studies but no longer wish to remain in their accommodation can request to be released from their tenancy by completing the Early Departure Request form. We strongly recommend reading the Early Departure Process before completing this form.
Students intending to withdraw from/suspend their studies should also read the Early Departure Process however please follow the steps on the Withdraw from your course article on the Student Hub to submit a withdrawal form.

If you wish to leave the university feedback based on your time living in YSJ accommodation please complete our survey.
Students can request to move to another room within university managed accommodation by completing the Room Move request form. Please also read the Room Move Process document before completing the form.
The Room Move form will be available from mid-October.

You will be able to find the weekly and yearly rent breakdowns for each site and room style. Please keep in mind that the first payment will have the £200 advance payment that you paid deducted.
Instalment payment dates vary per academic year but are usually:
- Instalment 1: mid to late October
- Instalment 2: mid to late January
- Instalment 3: mid to late April
