The information on this page is for York St John University staff who would like to find out more working with the Marketing team to produce video content.

If you are creative professional who has been commissioned to work on a video project for York St John University, please email marketing@yorksj.ac.uk and we will provide you with a video asset pack containing detailed guidelines, as well as graphic elements and other assets. 

 

As part of the Marketing team we have an in house, part time Video Content Producer.

Their job is to capture engaging content which will promote York St John to potential students. The majority of their time is spent on video projects which are arranged by the Marketing team and support our undergraduate and postgraduate recruitment campaigns in a strategic way.

Sometimes they are able to work on other smaller projects within the University. We prioritise projects which have a direct student recruitment impact.

Working with external suppliers

If we are unable to accommodate your project in the required time frame, we can recommend a film company from our approved supplier list that fits your requirements. The Marketing team can also support you in developing your ideas and script for the video, and ensuring that it fits our overall brand.

Depending on the purpose of your video, you may need to pay from your own school or department's budget.

Briefing for your video

Whether you are working with our internal team or an external supplier, submitting a good brief will help the process to go smoothly. Your brief should include information about:

  • Why you are commissioning the project and how you plan to use the video. This will have a big impact on how it needs to be filmed. A student case study video, for example, is filmed in a very different way to an events highlight video.
  • How the video needs to be filmed and edited.
  • How long the video needs to be. Ideally any content created for social media should be between 15 and 60 seconds long. For videos intended for the York St John University YouTube channel or website, we would recommend a maximum of 3 minutes.
  • What files you will need to be delivered. This will vary depending on where the video is going to be hosted. If your video is going to be used across multiple platforms, you should request for it to be filmed in high resolution, such as 4K, so that it can be scaled up or down and retain its quality.
  • When the delivery deadline is.

Videos of people are covered by data protection legislation (General Data Protection Regulation (GDPR)). When we shoot videos of students, staff or members of the public, we need to get their consent to use the footage through our photo and film consent form. This applies to any video where an individual is clearly identifiable. If a video includes individuals under the age of 18 you will need consent from a parent or guardian. It is best to do this in advance of the shoot.

For events such as Graduation and Open Days it is not possible to get written permission from everyone who might appear in video footage. Instead we make people aware that photo and film will be taking place through signage and event information. We also remind them that if they do not want to be included they can let our staff know.

The Marketing team keep secure records of consent given for photo and video. If someone wishes to revoke consent for their image to be used for whatever reason, we will do our best to remove it from our video library and any videos or advertising which are currently active.

Accessing our videos

You will have an opportunity to see a draft of your video and feed back on it before it is finalised. When it is complete we will provide you with final video files in MP4 format.

Approved videos can be uploaded by the Marketing team to our Youtube channel. They can be set as public or, if they are only intended for a specific audience, unlisted. An unlisted video can only be accessed through a URL link and will not appear to the general public via the Youtube search engine. From Youtube they can be:

  • Added to York St John University web pages by the Digital team
  • Included in emails
  • Shared on social media
